Shopify Store Keeps Missing Pickup Cut-Off Times? Setting the Time Isn't the Fix

A cut-off time controls what customers can choose at checkout. It does not make your team see the order in time. Here is why pickup orders still get missed, and how to fix the part that happens after checkout.

Quick answer: A pickup cut-off setting only controls what customers can choose at checkout. Most missed cut-offs happen after that: the order lands in the Shopify admin and nobody on the team sees it in time, or it is seen at the wrong branch. Fix both halves. Set the cut-off in Shopify's local pickup settings or a pickup scheduling app, then send each order straight to the right branch's WhatsApp with a staff alert app like StaffPing, so the people preparing it know the moment it exists.

Every store that offers local pickup has lived this one. A customer arrives at 5:30 for an order they placed at 2. The order is not ready. Nobody is quite sure why, because the order was right there in Shopify the whole time.

That last sentence is the problem.

The cut-off setting is only half the fix

Search for this problem and most answers tell you to set a cut-off time: in Shopify's local pickup settings, or in a scheduling app that offers pickup dates and time slots. Do that. It stops customers from booking a pickup your kitchen or counter cannot possibly meet.

But the cut-off setting works at checkout. Once the order is placed, the setting's job is done. Whether the order is ready on time depends on something the setting cannot touch: did the people who prepare it see it in time?

Where pickup orders actually get missed

Missed cut-offs rarely come from a customer booking an impossible slot. They come from what happens after:

  • Nobody is watching the admin. The team preparing orders is at a counter, an oven, or a packing table. The Shopify admin is on a laptop in the back.
  • The order is seen at the wrong branch. With several locations, everyone sees every order, or only the owner does. The branch that has to prepare it finds out last.
  • Late orders land just before the cut-off. An order placed twenty minutes before the deadline needs to be seen within minutes, not at the next admin check.
  • Overnight orders pile up. The morning shift opens to a list nobody has read, and the oldest order is the one that gets missed.
  • Cancellations go unheard. The customer cancels, and the team keeps preparing an order that nobody will collect.

Every item on that list is a visibility problem, not a scheduling problem.

The second half: get the order to the team the moment it is placed

The fix is to take the order to where your team already is. For most small and multi-branch stores, that is WhatsApp.

With StaffPing:

  1. Alert when the order comes in. Create a ping that fires when an order is created. If every customer pays online, you can fire on order paid instead. Pay-at-pickup orders are not marked paid until the customer collects, so for them, order paid fires too late. The branch's staff get the alert on WhatsApp within moments. The Detailed layout shows the customer's name and phone, the items and the total, which is what a counter needs to prepare the order.
  2. Send each branch its own orders. Add a Branch Location condition and pick the branch. Assign that branch's staff as recipients. One ping per branch, and each counter only sees what it has to prepare.
  3. Tell them about cancellations too. A second ping on order cancelled stops the team preparing an order that has been pulled.
  4. Start the day with the backlog (Scale plan). A Morning Backlog message tells the team what came in overnight, how many orders are still open, and how old the oldest one is.

Your staff add their normal WhatsApp numbers and confirm them with a one-time code. They do not need a Shopify login, and you do not need a WhatsApp Business account.

Both halves together

HalfWhat it controlsTool
Before checkoutWhich pickup times a customer can chooseShopify local pickup settings, or a pickup scheduling app
After checkoutWhether the right team sees the order in timeA staff alert on WhatsApp, such as StaffPing

Stores that only do the first half keep missing cut-offs, and it feels random. It is not random. It is the gap between the order existing and the team knowing it exists.

What StaffPing does not do

So you know where the edges are:

  • It does not set pickup times, time slots, or cut-offs. Keep using Shopify's settings or your scheduling app for that.
  • It cannot, by itself, send only pickup orders and skip delivery orders. Multi-branch stores route by branch location instead.
  • It does not message your customers. It only alerts the staff you add.

Cost

StaffPing plans start at $9 a month. WhatsApp itself charges per message, so each alert delivered is billed at your country's rate. The rate card is on the pricing page. The Morning Backlog is part of the Scale plan.

If your pickups keep slipping, check the second half before you change the cut-off again. Try StaffPing on the Shopify App Store.
