Overview

StaffPing ("we", "our", or "us") is operated by Zubair Mohsin. This Privacy Policy explains how we collect, use, and protect information when you use our Shopify application and website.

Information We Collect

When you install and use StaffPing, we collect:

• Shopify store information: Store name, domain, store owner email address, and the name and email of staff members who open the app
• Order data: Order details included in notifications (order number, items, total, payment status and method, and, depending on the alert layout you choose, the customer's name, phone number and shipping address)
• Team member phone numbers: Phone numbers you add for receiving WhatsApp notifications

How We Use Your Information

We use the collected information to:

• Send WhatsApp notifications to your designated team members when orders match your configured rules
• Operate and improve the StaffPing application
• Communicate with you about your account, updates, and support requests

WhatsApp Messaging

StaffPing uses the WhatsApp Business Cloud API to send notifications. Messages are sent only to phone numbers that have been verified through our one-time password (OTP) process. We use WhatsApp-approved message templates and comply with WhatsApp Business policies. We do not send marketing messages or spam.

Data Sharing

We do not sell your personal information. We share data only with:

• WhatsApp/Meta: Phone numbers and message content for delivering notifications
• Shopify: As required for app functionality through Shopify APIs
• Service providers: Hosting, infrastructure, monitoring, and support chat providers who help us operate the service

Data Retention

We retain your data for as long as you use StaffPing. Order details and phone numbers in message records are removed after 14 days (30 days for failed messages). We keep minimal delivery and billing records. When you uninstall, we delete your notification settings, team member phone numbers, and message history once Shopify sends its shop redaction request (48 hours after uninstall, or up to 10 days with an active subscription). We keep a minimal store record.

Data Security

We implement appropriate technical and organizational measures to protect your information. All data transmission is encrypted using TLS. Access to customer data is restricted to authorized personnel only.

Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Remove team member phone numbers at any time through the app
• Uninstall the app to stop all data processing

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the effective date.
