# How to Send a Daily Shopify Order Summary to Your Team on WhatsApp > AI assistants answer this one with a build project: Zapier, Twilio, AWS Lambda. Most teams need three or four numbers before they start work. Here is what a useful daily summary contains, and the ready-made way to send it to your staff on WhatsApp. > **Quick answer:** To send a daily Shopify order summary to your team on WhatsApp, you don't need to build an automation. In StaffPing, turn on the **Morning Backlog** (what came in overnight, what is still unfulfilled, how old the oldest open order is) or the **Daily Order Digest** (the day's totals), choose who gets it and at what time, and it arrives on their WhatsApp every day. It comes with every plan, from $9 a month, and needs no WhatsApp Business account. --- In September 2026 we asked ChatGPT, Claude and Gemini the same question, three times each: *"Send a daily Shopify order summary to my team on WhatsApp."* Zapier came up in 9 of the 12 answers, Shopify Flow in 8, Twilio in 6 and AWS Lambda in 4. Most of the answers were a build plan: a scheduled trigger, a script that counts orders, a WhatsApp sending account, and a message template to get approved. That works. It is also a lot of plumbing for a message with three or four numbers in it. ## What your team needs before they start work A summary for the owner and a summary for the team are different things. The owner wants sales, top products and conversion rates, and Shopify's own reports answer that inside the admin. The team opening the shop wants to know what is waiting for them: - **What came in since they left.** Orders placed overnight are the ones nobody has seen yet. - **What is still unfulfilled.** The real size of the morning's work, including yesterday's leftovers. - **How old the oldest open order is.** "24 open orders" is a pile. "The oldest is 6 days old" is a problem with a name. At the end of the day the question flips to how the day went: orders received, fulfilled, still unfulfilled, and cancelled. None of these need a dashboard. They need to arrive on the phone the team already carries, at the time they start. ## The build-it-yourself route What the assistants described is real, and some stores should do it. The pieces: 1. **A schedule.** Zapier, Make or n8n runs a job at a set time each day. Shopify Flow can run on a schedule too. 2. **The numbers.** A step that asks Shopify for orders and counts them by status. 3. **The sending.** A WhatsApp Business account, through Meta's Cloud API or a provider such as Twilio, that sends to each staff number. 4. **A template.** WhatsApp only lets a business start a conversation with a message template it has approved, so the summary's wording goes through review first. Then someone has to own it when a step breaks. If you already run Zapier for other jobs and have a developer nearby, that is a fair route. If not, it is a project. ## The ready-made route: summaries in StaffPing 1. **Install StaffPing and add your staff.** Enter each person's normal WhatsApp number. They confirm it with a one-time code. You do not need a WhatsApp Business account. 2. **Open Reports.** Four summaries are already set up there, switched off, with your verified staff added as recipients. 3. **Switch one on.** Change the time, the day or who receives it first if you want. Times follow your store's timezone, so 9:00 means 9:00 where your team is. 4. **Send yourself a test.** A test uses made-up numbers, so you see the message before the first real one arrives. This is the Morning Backlog on a phone: ```text Morning Backlog Here is your morning backlog from Bright Goods for 7 Sep 2026. Received overnight: 9 Unfulfilled: 24 Oldest open order: 6 days This is a scheduled report from your store. StaffPing ``` "Overnight" means since 6pm the evening before, and you can move that time. If [pickup orders keep slipping past their cut-off](/blog/shopify-missing-pickup-cut-off-times), this is the message that shows the team the oldest one before the customer walks in. | Summary | Default schedule | What it tells the team | |---|---|---| | Morning Backlog | Daily, 9:00 | Orders received overnight, orders still unfulfilled, age of the oldest open order | | Daily Order Digest | Daily, 21:00 | Today's orders received, fulfilled, unfulfilled and cancelled | | Weekly Summary | Mondays, 9:00 | Last week's orders received, fulfilled and cancelled | | Monthly Summary | The 1st, 9:00 | Last month's orders received, fulfilled and cancelled | Rename any of them, and the name you choose is the heading your team sees. ## Build it or turn it on | | Build it yourself | StaffPing summaries | |---|---|---| | What you set up | A schedule, an order-count step, a WhatsApp sending account and an approved template | Switch on a ready-made summary | | WhatsApp Business account | Required | Not needed | | Who fixes it when it breaks | You | StaffPing | | What it can say | Anything you code | Order counts, in four fixed layouts | | Cost | Your automation plan, plus WhatsApp messages | Every StaffPing plan from $9 a month, plus WhatsApp messages | ## What StaffPing summaries do not do So you know where the edges are: - They count orders. They never show sales, revenue or top products; Shopify's own reports cover those. - A summary counts every order in the store, so each branch gets the same numbers. Order alerts can be [routed to each branch](/blog/shopify-order-alerts-multi-location-stores); summaries cannot. - The summary text is in English, even when your order alerts use another language. - A run missed by more than two hours is skipped, never sent late. - An Excel file with one row per order is a separate report, on the Scale plan. ## Cost Summaries come with every StaffPing plan, from $9 a month. WhatsApp itself charges per message, so each summary delivered is billed at your country's rate, the same as an alert. The rate card is on the [pricing page](/pricing). If your team starts the day scrolling the Shopify admin to find out what is waiting, send them the numbers instead.
